Soca in Japan, LLC – Terms of Use

Notice: PLEASE READ THESE TERMS CAREFULLY BEFORE USING OUR SERVICE.

We are Soca in Japan (“Soca in Japan,” “SIJ”). We provide the website at www.socainjapan.com (the “Site”) and the underlying services (collectively, the “Service”). Each person who uses the Service is referred to as “you,” “your,” or “patron.”

NOTHING IN THESE TERMS IS INTENDED TO AFFECT YOUR RIGHTS UNDER THE LAW IN YOUR PLACE OF RESIDENCE. IF THERE IS A CONFLICT BETWEEN THOSE RIGHTS AND THESE TERMS, YOUR RIGHTS UNDER APPLICABLE LOCAL LAW WILL PREVAIL.

SOCA IN JAPAN’S AGREEMENT (TERMS & CONDITIONS)

The payment of your deposit or any other payment, or by attending Soca in Japan events, confirms that you accept and agree to Soca in Japan’s Agreement (Terms & Conditions) (the “Agreement”). If you are utilizing our services on behalf of another person, company, or organization (“Organization”), you represent and warrant that you are authorized by the Organization and have the right to bind the Organization to these Terms. This Agreement is subject to change by SIJ at any time after written notice of the change.

ALL DEPOSITS AND PAYMENTS ARE NON-REFUNDABLE

Due to the nature of our events, all payments, deposits, and installments are non-refundable.

CARNIVAL COSTUMES

Conservative style body wear or Carnival costumes are provided by socainjapan.masos.app. These costumes are made to order, and therefore, all purchases are non-refundable. All Soca in Japan tour packages include a conservative style body wear (body covered) that can be used for the Japan Caribbean Carnival. Optionally, patrons can upgrade to a Pretty Mas costume for as low as $70 for males or $120 for females. Costume selection and measurements will be available on socainjapan.masos.app beginning Spring 2025.

CANCELLATION OF ADVERTISED EVENTS BY SIJ

In the event of civil unrest, war, acts of God, international disputes, non-operational sightseeing vendors, bankruptcies, or for any other reason beyond the control of SIJ, SIJ, at its sole discretion, may cancel, advance, postpone, or substitute any scheduled event. SIJ shall not be liable for any loss to patrons resulting from such changes. If the advertised event is completely canceled, SIJ shall return your payments. If the event is partially canceled, SIJ will return a proportion of your payment. Under such circumstances, SIJ shall have no further liability for damages or compensation.

Please note that the availability of any refund and additional fees (e.g., third-party credit card processing fees) will be determined according to the cancellation policies of such products or services. Patrons on installment plans with payments in arrears of 30 days or more may not be eligible for refunds due to our many contract obligations with suppliers.

CANCELLATION BY SIJ ARTIST

SIJ has entered into agreements with each performing artist to perform according to specified terms. However, SIJ shall not be held liable for the failure of any artist or musician to perform beyond SIJ’s control. This includes, but is not limited to, civil unrest, war, international disputes, acts of God, illness, death, and government restrictions.

In the event of any failure of contracted artists to perform during advertised events, SIJ, at its sole discretion, may engage a replacement artist or may change, postpone, or terminate all or part of the event or entertainment program. In such cases, SIJ shall have no liability for any loss, damage, cost, or expense incurred by the patron due to such changes.

SAFETY DURING SIJ EVENTS

You assume sole responsibility for your own safety during SIJ events. While SIJ prioritizes patron safety, the final responsibility rests with the patron. Please follow all safety instructions provided by the SIJ team.

PHOTOGRAPHY/VIDEO RELEASE

Video or audio recordings, filming, or photographs may occur during SIJ events. These may be owned, licensed, assigned, or distributed by SIJ, its affiliates, and assignees nationwide and worldwide. By attending our events, you hereby waive any right to compensation for such use and authorize SIJ, its affiliates, and assignees to use your likeness in any manner. You also waive any right to bring any legal action against SIJ, its affiliates, and assignees for such use.

ZERO TOLERANCE POLICY

SIJ has a zero-tolerance policy regarding threats, violence, discrimination, sexual harassment, illegal substances (drugs including marijuana), property or venue destruction, and other inappropriate conduct during SIJ events. While utilizing the charter buses, it is strictly forbidden to bring food or drinks on board. When the charter bus is in motion, please remain seated. It is forbidden to stand, dance, or engage in unsafe acts that may be disruptive to the driver, staff, or other patrons. Violations of this policy may result in the cancellation of your registration or immediate removal from the event, arrest, and/or criminal prosecution, as appropriate. In such cases, SIJ will not be liable for any refund or other compensation.

VENDING OR ADVERTISING

Unless approved by SIJ, no vending or advertising of any kind is allowed during SIJ events. For information on sponsoring or vending, please email info@socainjapan.com. Selling unauthorized merchandise or advertising brands/products during SIJ events is strictly forbidden. Anyone found violating this policy will have their unauthorized merchandise confiscated and may be removed from the event. This policy will be strictly enforced.

MEDICAL CARE

All patrons must ensure that they are medically and physically fit for SIJ events, as these may involve a lot of walking and standing. You assume all risks associated with travel and attending SIJ events. If you are traveling to Japan from overseas, medical care may not be available in your native language. We recommend consulting with a healthcare provider in your home country before visiting Japan, especially in cases of allergies. We highly recommend purchasing travel insurance to cover any unforeseen or unexpected medical expenses.

2025 MONTHLY PAYMENT PLANS FOR SIJ

Registration requires an initial payment as low as $350 USD. After that, you can choose to pay the balance in full or opt for installment payments.

For patrons who select the installment plan, the remaining balance will be divided into up to 6 equal monthly payments, each due on the 15th of the month.

PAYMENT PLAN:

  • January 15th – 16% of total balance due

  • February 15th – 34% of total balance due

  • March 15th – 50% of total balance due

  • April 15th – 66% of total balance due

  • May 15th – 83% of total balance due

  • June 15th – 100% of total balance due

The final installment payment is due no later than June 30th, 2025.

Late payments:

  • Monthly payments that are 15 days overdue will incur a $50 late payment fee.

  • Monthly payments that are 30 days or more overdue, unless otherwise arranged with Soca in Japan, will result in the forfeiture of deposits.

  • All payments are non-refundable. If your reservation remains unpaid for 30 days past its due date, SIJ reserves the right to cancel your reservation without refund.

PAYMENT TO HOTEL AND ACCOMMODATION

After check-in at the hotel, patrons may be asked by the hotel to put a credit card on file in case of incidentals or room service charges.

 

ROOMMATES

Your decision to accept a roommate for your accommodation while in Japan is at your own risk. SIJ is not responsible or liable for any claims or causes of action arising out of or in connection with a roommate.
